Transcript for "More perks, less work: why an Uber for Business profile pays off":
Hi, everyone. Welcome to today's webinar, why an Uber for business profile pays off, more perks, less work. Today, we'll be covering how your team can unlock better rewards from the business rides and meals that they're already taking today. Before we get started, just to formally introduce myself, I'm Cindy Lay from Uber for business, and I've been with Uber for about two and a half years now. I'm based out of our New York office, and I'm super excited to share more about the perks that come along with having an Uber for Business profile alongside my colleague, Aaron Kaplan. Thanks, Cindy. I also work here out of the New York office, and I've been on the team for three years. And I'm super excited to work with you, and walk you guys through this today. Together, we're going to walk through how a business profile turns the everyday spend your organization already covers, like commutes, client visits, airport runs, office meals, and other relevant travel use cases, into more value for your employees and more visibility for your team. For anyone new or unfamiliar to Uber for Business, it's the same app and process you're already using today whenever booking through Uber, except with exclusive corporate benefits and perks. Setting up Uber for Business gives your corporation the visibility, policy controls, and rewards a personal account does not provide or have access to. Before we get started, I wanted to do a quick icebreaker, so please drop your answer in the chat. What's the last thing you redeem reward points for? I'll start. For me, being someone that travels a lot and uses Uber for business, I have a good balance of Delta Sky Mile points that I was able to redeem recently to book my flight to Barcelona. Aaron, how about you? Same, Cindy. I've actually been tracking my delta miles as well as I get double points when I travel for work, so it's always nice to see them coming a little bit faster. A little housekeeping before we dive in. Questions go in the quest the q and a tab on the right. We'll take as many as we can at the end, and we'll follow-up with on anything we don't get to. The docs tab has more detail on everything we covered today. Click get demo at the top of your screen if you wanna talk to one of our team after the session, and we'll be sending this recording to everyone who registered. Cindy, will you walk us through what we have on the deck? Yeah. Absolutely. I'm excited to share more about what we will be covering today. Today, we'll be covering what a business profile actually unlocks, how Uber One members can get more value from eligible business rides and meals, help partnerships with Delta Airlines, Marriott Bonvoy, and select corporate card programs, add miles, points, and Uber Cash to purchases you're already making, and simple steps for rolling out business profiles across your company for both travel and everyday spend. So let's get started with why this matters right now. Thanks, Cindy. Employees are probably already using Uber to commute, arrange client travel, and order meals in the office. And there's a growing appetite for getting personal value out of that spend even when it's on the company card. 67% of travel managers say their company already offers financial rewards for personal travel, but 81% wish it did. With Uber for Business, that spending gets easier to manage, and your team gets personal rewards they're looking for. Let's start with where business expenses typically begin, t and e. Business travel spending is bigger than ever, and it's growing. Global business travel spending is forecasting to hit a record 1,700,000,000,000 in 2026, up 7.2% from last year, with trips reaching almost 2,000,000,000. 44% of corporate travel buyers expect organizations to spend more on travel in 2027 compared to this year, and business travelers typically spend around $1,700 per trip. It's not all about travel, though. Your teams are also doing spending when they're in their offices. That shows up as in office lunches, late night meals, and even calling gifts, as well as office supplies that might be ordered in a pinch. Office supplies typically run between 25 to $75 per employee per month, which is about 300 to $900 a year. That's often an undercount since the scattering since it's scattered across corporate credit cards, miscellaneous charges, petty cash, and often onetime purchases. Companies without a system for tracking spend typically closer to 20 to 35% more on emergency orders and over ordering. On the compliance side, top performing procurement teams keep 75% of spend within contracted compliant channels versus a 60% industrial, industry average. If your organization is already spending hundreds of thousands of dollars a year on Uber rides and meals without a dedicated contact or structured program, you're leaving exactly this kind of visibility and control on the table. So all of this spending is happening across all the different places. Chances are you don't have nearly as much visibility into it as you'd like, but the visibility really is the only part isn't the only isn't the only part of the story. If you're not being intentional about how you manage the spend, there's a good chance you're leaving a lot more on the table. Cindy, can you walk us through what are these, missed opportunities look like? Yeah. I'd love to. So today, your team is already using Uber, and rideshare is a significant part of your travel spend. But without a business profile, here's what it looks like. Currently, there's no pricing limit on what gets booked. If you do have guidelines in place, those are enforced after the trip has already happened. Additionally, there's no visibility into business spend or usage patterns. You've probably got a pile of receipts or an inbox full of random rides and pulling them together into a cohesive dataset is tedious work. Lastly, without Uber for Business, you're missing out on no on access to the Uber for Business exclusives we're about to cover today. We've built Uber for Business to deliver the processes, features, and perks that businesses need. If your business team is taking rides for their business work, there's no reason you shouldn't be on Uber for business, especially when it's completely free. So let's get into what a business profile actually unlocks. Business profiles do more than simplify expensing. They bring automatic reporting, policy enforcement that happens before the ride or meal, not after, and gives you access to the rewards partners that your team likely is already a member of. So let's dive a little deeper into what Uber for Business actually unlocks. With Uber for Business, your team will be getting automatic expense capture. Moving forward, you'll no longer have to chase down receipts as they will automatically be forwarded to your expense provider. As someone who travels a lot for work and did not have Uber for business at my previous companies, my least favorite thing to do after coming back from a long work trip was having to manually download or screenshot my Uber receipts and upload them into my expense provider that we were using. So the automatic receipt forwarding feature is actually one of my personal favorite perks that come along with Uber for business, but just one of many, of course. You'll also be getting policy enforcement at the point of booking. Budget, ride type, and time of day rules apply before the ride happens, not after someone's already submitted an expense report. We talked earlier about how top performing teams front load compliance. This is exactly that. In addition, you'll be given flexibility whenever needed. If if a request falls outside policy, employees can still book it on a personal profile, they just can't charge it to the business. If a flight gets delayed and a team member arrives late to the airport, they aren't just gonna be stranded. They can still request a ride, and they'll just go through the traditional reimbursement process today. Excuse me. In addition, you'll be getting global consistency. Your team will be getting the same policy experience whether your team is headed to Paris, Texas or Paris, France. Uber is available in more than 1,500 15,000 cities and at more than 700 airports. So whenever work takes your team, they'll have reliable transportation. And with Uber Eats available in over 6,000 cities across 45 countries, they won't go hungry either. Lastly, you'll unlock the ability for custom naming. We like our names for ride types a lot, and we also know your company has its own flare. So with Uber for Business, you can rename the ride types that are available for your team and customize it and tailor it to include your company name. Leveraging custom naming makes it even easier for your teams to know which rides are in policy for them, and it's also super fun. Aaron, can you bring this to life with the number, please? Of course. Cindy, I also share the same sentiment. My old company didn't have me Uber for Business, and I was always the guy taking screenshots and copying and pasting while I was in the TSA line. Not a fun activity. But let's walk through Delta and Uber cashback. On cashback for you, when you take a $100 ride, for example, let's take that airport ride. So let's look at a hypothetical. Two to three days on a business trip, assume the ride is a 150 to $300 per traveler, assuming that's roughly four to 10 rides. For the distributed trips, local transportation can be much higher. So let's say, three seventy one, unexpected travel. Without a business profile, you get zero rewards back and about forty five minutes of additional admin time, AKA taking screenshots in the TSA line. For your travel manager, excuse me, receiving expense reports, that's roughly about one five chance the expense report has an error according to GBTA. With a business profile, that same a 150 to 300, to spend in the for the traveler is now about $15 in Uber One credit and then about a 5% a 5% rate on Uber Cash plus whatever miles or points they're earning with Delta or Marriott and about five minutes back for the admin, for the business ride, a meal, and undelivered. The policy compliance is also built in at the moment of booking. Yeah. And you also briefly touched on some of the additional partnerships and benefits that are available to your team. So let's get more into that. Starting with Uber One. Quick context, if you aren't familiar with Uber One, Uber One is Uber's membership program that unlocks savings on both rides and Uber Eats orders, and it's included free for a twelve month period through Uber for Business. Employees who are connected to an Uber for Business account get access to Uber One, and it's certainly one of my favorite perks as well because of all the benefits and savings it provides. With Uber for Business, your company will receive that twelve months of Uber One membership, as I mentioned, which is more than a $95 value per employee at the standard pricing. You'll also be receiving 5% Uber One credit on eligible rides, $0 delivery fee on eligible Uber Eats orders, and up to 10% off eligible deliveries and pickup orders. All of this combined saves costs in the long run. Aaron, how about you walk us through how that actually shows up for someone using their business profile? Sure thing, Sydney. It's automatic. Once someone's on the Uber One member, the credits the credit, the waive delivery fee, the discounts apply whether they're booking personally or on a business profile. And every employee gets twelve month offer just for connecting their account. One thing worth making clear for admins, there's nothing extra you need to do on your end to make this offer appear. It's already there once the business profile is set up. Each employee just cleans it themselves. It takes about a minute. So let's take a look at how your team can take advantage of Uber One and get started with their twelve month trial. First, as you might expect, they'll open the Uber app. They'll see everything you can do from the app. Don't get distracted. We're looking for the briefcase in the bottom right that says account. Tell them they can come back for Uber Eats later if they want. When they tap account, they'll be taken to the account page. There's a ton of valuable stuff here. You can see how much c $0.02 you've saved, do a safety checkup, and there's a chance you're going to see that twelve month Uber One offer right near the top. You're welcome to tap that if you want, but we'll show you where it always lives, inside the business hub. Scroll down a little further, and if you want to send a ride to a friend along the way, we're not mad about it, but we're looking for the business hub. When you find that, go ahead and tap it. When your team is on Uber for Business, the Business Hub is a super powerful spot. If you're an admin, like our test account is here, you can get to your admin dashboard, manage people, programs, and even view billing all from the app. And whether you're an admin or not, everyone on your team can see the exact benefits your team has access to. Travel and meal programs both show up here, plus a list of available perks and the ability to add a delegate. But, again, let's focus. You should see a gold bar mentioning the Uber One membership offer. Tap claim, and that'll give you another chance to see everything you'll get with Uber One, the Uber One credits, the surge savings, the $0 delivery fee. And if you scroll down, you'll see the button to tap and join Uber One. When you do that, you'll be asked for a payment option. Again, it's free for the first twelve months, but this is just to make sure that your benefits keep going after that first year. We're going to use Apple Pay because it's easy. Confirm the card we want tied to the Uber One benefits and then confirm. And just like that, we're all ready to go with Uber One benefits. To prove it's working, we'll go back to the home screen of the app. Click on the Uber Eats tab, and you can already see that we've got the option to filter by restaurants where we'll be able to get some of those benefits we talked about earlier. Uber for Business also has exciting partnerships with Airplane and Delta Airlines. In Canada, Airplane members can connect their Airplane and Uber accounts to earn Airplane points on eligible Uber rides and Uber Eats orders. It's another way to get more value from the rides and meals that you're already taking and ordering today. Connecting to a Delta SkyMiles account to a linked Uber for business account doubles the miles employees earn on eligible meals and rides. On a business profile, that's two miles per dollar on UberX airport rides, four miles per dollars on Uber XL, SUV, Comfort, and Black, and six miles per dollar on Uber Reserve, plus two miles per dollar on Uber Eats restaurants and grocery orders of $40 or more. Let's look at Marriott Bonvoy and how we can use that as well, similar to Delta. Connecting your account is just as easy and you can earn. Three points per dollar on premium rides, two points for the doll dollar on Uber X rides that are reserved, two points for, per dollar on Uber Eats orders over $40 or more. They're taken and delivered to residents in town, place, suites, or property. And then $1 per sorry, one point per dollar on qualifying Uber Eats orders over $40 or more. One nice addition is an active annual Uber One membership now comes with complimentary Marriott Bonvoy Silver Elite status. Yeah. One more thing worth calling out is these partnerships don't just add up for the company. They add up for your employees personally. Every eligible ride or meal on a business profile also adds the Delta SkyMiles or Marriott Onward points they use for their own trips so the vacations they they're planning get a little closer every time they commute or grab lunch. Same rewards account, just filling up faster. And they can switch between reward partners at any point. To choose their earning partner, it's as simple as going to the Uber or Uber Eats app and going to account, scrolling to partner rewards, and then selecting their preferred earning partner. Choose set as earning partner. As great as these partnerships are, they're only really as valuable if your teams take advantage and get set up with Uber for Business. So let's talk about rollout. There's a lot to love about earning with Uber for Business, and it all starts with getting set up in the app. For admins, this is pretty simple and fast. All they need to do is sign up or log in to their dashboard at uber at business dot uber dot com, and it's completely free, as I mentioned, and connect an existing Uber account or create a new one. Invite individuals, teams, or your whole organization and set spending policies and improveable workflows. This is something that we at Uber will help and work with you directly to get set up, so don't hesitate to reach out via the get demo button today. For employees, it's even simpler. They get an email invitation from Uber for business. They add a business profile to their existing Uber account or create one if they don't already have one yet. They choose the earner partner and start earning right away. No new app to learn. No training required. Yeah. And here's what to expect after launch. This is the general pattern we see once a business profile goes live, although not a guaranteed timeline. Some teams move faster and some slower. It really just depends on how quickly people connect their accounts and start utilizing and adopting the program. On week one, rewards will start showing up as the first Uber One credits and airline or hotel points start landing in people's accounts. By month one, adoption builds as people notice the difference. Word spreads once a few employees start talking about the extra perks they're earning on rides and meals that they were already taking. And during month three, your finance team will start to notice that they have stopped having to chase down receipts, whether that be missing receipts or mismatched receipts as, at this point, they would notice the effect of those rides and mail receipts flowing automatically into the provider as well as the free Uber for Business dashboard. So before we wrap up, let's get to a few questions. Some of these were submitted ahead of the event, so we'll take those first. If you still got a question, drop it in the q and a tab, and we'll get to as many live ones as we can before we close out. So up first from April, what's the best way to get our team to actually adopt this? Can communications be provided to be edited and shared with employees? Aaron, do you wanna take this one? Sure, Cindy. April, that's a great question, and a lot of times the questions we do get from clients. I think the biggest thing is employee satisfaction and also ease of use. Think about the seamless expensing process. Nobody likes tracking receipts. So if you can let the employees know that we're gonna remove that from them and give them the automation, it's always a big plus one in addition to the benefits that we're gonna offer, the double points, the Uber One membership. Typically, some big, wins within the organization. As far as the communications piece, we certainly had that pre templated as well as a a a team member within Uber for Business that will help you. So if you have any questions more specific or wanna dive in, would definitely suggest clicking that get demo button, and then we'd be love we'd love to follow-up with you. Thank you for the question, April. And next from Stacy, do employees keep their own miles and points or does the company? How can I earn points if me and my team uses a company credit card? Great question, Stacy. And I am happy to announce that individuals and employees do get to keep their own miles and points. So whether they're using a personal card or using a corporate card to charge for these rides, all those points will go directly to the individual, whether that's, you know, Marriott Bonvoy or Delta SkyMiles. Next up from Lakeisha. How do you become an Uber member? Lakeisha, that's a great question. One way would be your organization being part of Uber for business, not being an account that would give you a complimentary one month or sorry, one year membership for joining. If that's not something that's happening today, you're always welcome to go on to your Uber app and join, proactively outside of that. But but good question. Thank you so much for, the question, Lakeisha. And that's a wrap for today's session on the ways you can get more perks for your teams for the meals and trips that they're already taking and ordering today. Thank you again to Erin for digging into all of these with me, and thanks to everyone who joined us as well. You'll get a link to today's recording if you wanna revisit anything. And if you'd like to talk through what this could look like for your team and your company, just use the get demo button as Erin mentioned or reach out to your Uber for business contact. Thanks again, everyone. See you next time, and hope you have a great one. My name is Michelle Amos. I work for Qualtrics, and we use Uber for Business to improve our employee experience. I'm Steve. I'm from Mastercard. I use Uber for Business to ensure that I have one less thing to worry about when I travel for business. My name is Laura from Autodesk, and we use Uber for Business to travel the world more efficiently. My name is Gabriela Lantigua, and we use Uber for Business to improve our travel program. So first and foremost, if a partner and if a program is gonna deliver a seamless experience to my end user and to my customer, I am intrigued. And with Uber for Business, it's delivered exactly that. I don't have to worry about whether the trip that I am booking is compliant, whether I booked the right ride type. I know that the currency is there ready to, convert to my own home currency. I know the invoice is in exactly the same format in whichever location I'm traveling. So to have one thing less to worry about, that makes everything incredibly easy. Employee experience when they're traveling is absolutely number one. We are focused on making sure that employees are happy, that they're comfortable. That's our main focus, and I think Uber for Business makes it pretty seamless for us. For us, it's very important as a global company to have global partners that can give services to more than one location and ensure the employee satisfaction that they don't have to use multiple app for the same services and multiple the vendors for the same services. And they will have the same experience in every country that they may be. All an employee has to do is simply click a link and their personal Uber profile is connected to the Qualtrics Uber for business account. They also don't have to submit expense reports since it's billed to our corporate account. And it's a tool and a service that they're already so used to using personally. They already are delighted with, and they can experience that for work as well. We have employees on the road, you know, every day, all day. They're traveling to all parts of the world, and so they can pull up their Uber app. They're getting to SFO. They're going to JFK. They're going to Singapore. They can always find a ride or ride share. So it kind of meets all of our needs. In the last six weeks, I've been in Poland. I've been in Portugal, Spain, The US. You land in a location, and I know that Uber for Business is going to be there to get me to where I need to go.
